Privacy Policy
This Privacy Policy explains how PodControl collects, uses, shares, and protects personal information when you use our website, our app, and our messages. It also explains your choices and your rights.
We collect what we need. We keep it for as short a time as we can. We tell you plainly what happens to it. This policy does not cover the services of other companies which you connect to PodControl. Their own policies apply to them.
1. The short version
- We collect the information we need to run your account and make your clips.
- We do not sell your personal information or your content.
- To write captions and titles, we send short transcript excerpts to third-party AI service providers.
- On our website, we use Google Analytics 4 and PostHog to see how visitors use it. PostHog records page interactions (session replay). A test cookie assigns visitors to page version A or B.
- Finished clips leave our servers within 30 days. You can ask us to delete your data at any time.
2. Who we are
PodControl is responsible for the personal information described in this policy. Our contact details are in Section 15.
Your recordings can include other people, such as guests and co-hosts. For that content, you decide why and how it is used, and we process it for you under the Terms of Service. If you need a data processing agreement, email us.
3. Information we collect
- Account information. Your name, email address, and plan.
- Content you connect. Links to your podcast archive or storage, copies of your recordings, transcripts, the clips we make, captions and titles, and your review choices (approve, reject, edit). Recordings can contain the voices, images, and names of other people.
- Connected accounts. When you connect a social network, we receive the name of the account and the access the network grants us.
- Purchase information. Our checkout provider or a marketplace collects your payment details. We receive confirmation of the purchase, your plan, your name, and your email address. We do not receive or store your full card number.
- Messages and support. What you send when you contact support, join the waitlist, answer a survey, or reply to a message.
- Usage and device information. The pages and screens you view, your clicks, and your time on each page. Also the page you came from, your browser and device type, your language, and your approximate location from your IP address. In the app, we also record actions needed to run the Service, such as the clips you approve.
- Cookies and similar tools. Section 7 lists them.
4. How we use information
- Provide the Service. Make your clips, publish them, run your account, and support you. Legal basis: contract.
- Run and protect the Service. Fix bugs, prevent abuse and fraud, and keep records. Legal basis: legitimate interests.
- Improve the Service. Learn which pages and features work, and compare page versions. Legal basis: legitimate interests, or consent where the law requires it.
- Communicate with you. Send service messages and support replies. With your consent, or where the law allows, send product news and offers. Legal basis: contract, legitimate interests, or consent.
- Meet legal duties. Keep tax and accounting records and respond to lawful requests. Legal basis: legal obligation.
We do not use your content to advertise to you or to anyone else. We do not use your content to train our own AI models.
5. AI and automated processing
We and our service providers process your recordings and transcripts to find moments, write captions and titles, and make clips.
To write captions and titles, the Service sends short excerpts of your transcripts to third-party AI service providers. We send the excerpts needed for the task. The providers return text to us.
We do not make decisions about you with legal or similarly significant effects based only on automated processing.
6. How we share information
We share personal information only in these ways.
- Service providers. Companies which help us run the Service, such as providers of hosting, email delivery, payment and checkout, AI services, analytics, and customer support. They receive only the information they need to do that work.
- Connected networks. When you connect a network, we send your clips, captions, and titles to it at your direction. The privacy policy of the network governs what it does next.
- Legal and safety. When the law requires, or to protect the rights, safety, and property of people or the Service.
- Business change. If we merge, are acquired, or sell assets, information can move to the new owner. This policy continues to apply to it.
- Your consent or direction. When you ask us to share information, or agree to it.
We do not sell personal information.
7. Cookies, analytics, and similar tools
We use a small set of tools. Some are cookies. Some use browser storage.
| Tool | What it does | Where |
|---|---|---|
| Google Analytics 4 | Measures visits, pages viewed, and traffic sources. | Website |
| PostHog | Product analytics. It counts page views and clicks, and it records page interactions (session replay) so we can find and fix confusing pages. | Website |
| Test cookie (pc_ab) | A first-party cookie. It assigns you to page version A or B so we can compare which one helps visitors. | Website |
| Waitlist and session items | Small first-party items which remember you joined the waitlist and keep your visit together. | Website |
| Sign-in cookie | Keeps you signed in to the app. | App |
| Preference storage | Browser storage which remembers display choices, such as your theme. | App |
Your choices: your browser lets you block or delete cookies and site storage. The app needs its sign-in cookie to work. Google provides a browser add-on to opt out of Google Analytics. Our website does not respond to Do Not Track signals.
8. How long we keep information
- Finished clips. We remove them from our servers about 7 days after they publish. In every case they leave within 30 days of being made.
- Working copies of recordings and transcripts. We keep them only as long as we need them to run your account. You can ask us to delete them at any time.
- Account and purchase records. We keep them while your account is open. We then keep what tax and accounting law requires.
- Support messages. We keep them as long as we need them to resolve your request and handle follow-up questions.
- Analytics data. We keep it for a limited period, set in the analytics tools.
- Backups. Deleted data may remain in backups for a short time before it is overwritten.
9. Your rights and choices
You can ask us to:
- Tell you what personal information we hold about you, and give you a copy.
- Correct information which is wrong.
- Delete your information.
- Give you your information in a portable format.
- Restrict or stop some uses of your information.
- Withdraw a consent you gave.

10. International transfers
We and our service providers can process information in countries other than your own. These countries can have different data protection laws. Where the law requires, we use safeguards, such as contracts which require equal protection.
11. Security
